Vendor Evidence Dependency Map

A map of which vendors hold which evidence, the contract terms governing retrieval, and the exit-readiness blockers each dependency creates.

Definition and role

What this artifact examines and how it contributes to evidence readiness.

The Vendor Evidence Dependency Map captures, per vendor, what evidence the firm depends on the vendor to produce, retain, or release. It treats the vendor surface as an evidence dependency, not a procurement dependency. The map covers cores, customer-communication management providers, third-party administrators, archives, dispatch and fulfilment providers, and digital-delivery providers.

Evidence reviewed

The evidence categories this artifact examines.

  • Per-vendor inventory of evidence the firm cannot reconstruct without vendor cooperation.
  • Contract terms governing access, export, retention, and termination handoff.
  • SLA timing for evidence retrieval under examination conditions.
  • Evidence the firm retains in its own systems versus evidence held only by the vendor.
  • Exit and successor-servicer readiness per vendor relationship.

Evidence question

The practical question this artifact is designed to answer.

If a vendor relationship ended – by exit, dispute, insolvency, or successor-servicer transfer – what evidence would the firm retain access to, at what fidelity, and within what timeline?

How it fits in the assessment

How this artifact supports the Evidence Readiness Assessment and connects with the other diagnostic outputs.

The Vendor Evidence Dependency Map sits alongside the Contract-Term Evidence Portability Review, which reviews the contracts themselves rather than the operational evidence flows. It feeds the Evidence Gap Map and the Retrieval and Export Readiness Review, both of which identify where vendor dependencies create reconstruction failures the firm has not yet remediated.
